Job Overview
Responsible for managing and coordinating factory vehicle orders to ensure accurate specifications and timely delivery to dealerships. Oversee logistics and distribution, ensuring compliance with regulatory requirements and coordinating shipment documentation for smooth delivery. Managing supplier contracts, maintaining communication with internal and external stakeholders, and ensuring cost-effective service delivery. In compliance to the Company's Integrity, Anti Bribery Codes, Conflict of Interest Policy, Safety, Health, Environment, Risk and Quality requirements and to perform delegated SHERQ tasks and duties & to inform superior about deviations.
Key Duties and Responsibilities:
Sales Admin Requests
Facilitating and executing comprehensive support for dealers and sales personnel by managing and resolving all enquiries related to vehicle allocation, reservation processes, invoicing requirements, and the coordination of delivery activities.
Delivering of units
Liaising proactively with carrier service providers to coordinate all aspects of vehicle delivery logistics, ensuring they receive comprehensive communication regarding all invoiced units, as well as the designated collection and delivery locations.
Invoice Verification
Conducting thorough verification and authorization of supplier invoices to ensure accuracy, compliance with contractual terms, and alignment with established procurement and financial control processes.
Ordering & AFAB Functions
Administration of the factory ordering of all DTSA vehicles upon receipt of signed and approved order sheets. Placing orders on the overseas factories to ensure the pipeline of DTSA is maintained for the Southern African market. Managing and reporting on factory orders placed by the supply chain team on a monthly basis. Delivery of units to dealers/body builders by locally appointed suppliers within contractually specified lead times. To report on in-transit units to align the business during month end periods. To oversee the transport billing and order creation for monthly carrier services. All of this in line with the Distribution Policy.
SAP Master Data
Ensure that the product and reporting hierarchy are accurately and timeously maintained on the SAP Wholesale template. This includes dealer target setting and updates based on market information. Loading and Updating the demo and sales quota per dealer per respective models for dealer ordering and planning.
Shipping
To ensure all DTSA's vehicles are shipped and cleared according to their production dates and in line with South African Revenue Service's requirements. To communicate with customs clearing agents in order to provide the correct and required documentation.
PDD Updates & Stock Management
Updating and maintaining delivery timelines within dealer and sales team systems to ensure accurate visibility, while simultaneously reviewing aged stock reports and validating stock status to facilitate the precise allocation and availability of units. Ensuring that FIFO is adhered to at all times during the stock management process.
Minimum of a Matric (Grade 12) with a relevant 3-year tertiary qualification (BCom/BEng/BSc or equivalent).
Experience:
A minimum of 2–3 years’ experience in a specialised distribution and logistics field is required.
Experience with commercial vehicle supply chain operations and processes.
Experience with supplier management.
Special Knowledge:
Computer Literate with advance skill in Excel &PowerPoint.
Excellent communication skills.
Commercial Vehicle Market and product knowledge.
SAP SWT.
AFAB.
